Privacy Policy

This policy explains how VisionNova handles personal data, product data, image data, and service information across Vision AQL Calculator Pro, our website, VisionQC, and related quality software services.

1. Scope and controller

This Privacy Policy applies to VisionNova websites, VisionQC, and related software, apps, tools, support, consultation, and quality workflow services that link to this policy. In this policy, "VisionNova", "we", "us", and "our" refer to the VisionNova team responsible for the relevant service.

If you use VisionQC through a company, factory, supplier, brand, or other organization, that organization may also control or administer the data in its workspace. In that case, please contact your organization for workspace-specific privacy requests.

Vision AQL Calculator

Vision AQL Calculator, also referred to as Vision AQL Calculator, is designed as a local calculation utility.

  • Vision AQL Calculator does not collect personal data.
  • Vision AQL Calculator does not require user registration.
  • Vision AQL Calculator performs calculations locally on the device.

Other VisionNova applications may provide additional functionality. Their data practices will always be disclosed within the application and in this Privacy Policy before data collection begins.

2. Data we may collect

We collect data only where it is needed to provide, secure, improve, support, or communicate about our services. Depending on how you use VisionNova or VisionQC, this may include:

  • Contact and account data: name, email address, company name, role, login details, support messages, and communication preferences.
  • Customer and project data: product references, inspection records, size charts, AQL settings, comments, decisions, quality events, supplier or factory context, and workflow configuration.
  • Images and uploaded content: product photos, sample images, defect examples, measurement photos, fabric or color images, annotations, and related metadata that you choose to upload or provide.
  • Device and usage data: IP address, browser type, device type, operating system, app version, pages or features used, diagnostics, crash reports, logs, timestamps, and security events.
  • Payment or billing data: billing contact details, plan information, invoices, and transaction references if paid services are used. Payment card details, where applicable, should be processed by a payment provider and not stored by VisionNova directly.
  • Website inquiry data: information you send through email links, contact forms, or direct messages to us.

We do not intentionally collect sensitive personal data unless it is provided by you or your organization for a necessary support, legal, or service purpose. Please avoid uploading personal, medical, biometric, or highly sensitive information unless it is required for your authorized use of the service.

3. Camera, photos, files, and device permissions

Some services may request access to a camera, photo library, files, notifications, or similar device features. We use those permissions only for the purpose shown in the app or service, such as capturing or uploading product images, checking measurements, documenting inspection evidence, or sending service notifications. You can manage or withdraw device permissions in your browser, operating system, or app settings.

4. How we use data

We may use data to:

  • provide, operate, personalize, and maintain VisionNova and VisionQC services;
  • process inspections, AQL workflows, measurements, fabric recognition, color comparison, AI-assisted review, reports, and quality records;
  • create and manage accounts, authentication, access controls, subscriptions, and support;
  • communicate about service requests, product updates, security notices, and administrative messages;
  • monitor reliability, debug errors, prevent abuse, protect accounts, and keep the service secure;
  • improve user experience, performance, workflows, documentation, and AI model quality where permitted by contract, consent, or applicable law;
  • comply with legal obligations, enforce agreements, and protect the rights, safety, and integrity of users, customers, VisionNova, and the public.

5. AI processing and customer content

VisionNova services may use AI or computer vision methods to analyze product images, inspection records, measurements, fabric features, color information, and related quality data. Customer content is used to provide requested service features and support the relevant workspace. We do not sell customer content. We do not use private customer content for advertising.

Where model improvement, benchmarking, or product improvement uses customer content, it will be handled according to the applicable contract, workspace settings, consent, or legal basis. Enterprise or customer-specific restrictions may apply.

6. Sharing and third-party service providers

We may share data only as needed for the purposes described in this policy:

  • Service providers: hosting, storage, security, analytics, email, support, payment, infrastructure, and AI processing providers that help us operate the service.
  • Workspace administrators: if you use VisionQC through an organization, authorized administrators and team members may access workspace data according to their roles.
  • Legal and safety reasons: when required by law, legal process, government request, or to protect rights, safety, security, and service integrity.
  • Business transfers: if VisionNova is involved in a merger, acquisition, financing, reorganization, or sale of assets, data may be transferred subject to appropriate protections.

We require service providers that process personal data for us to use appropriate safeguards and to protect data in a manner consistent with this policy and applicable law.

7. Cookies, analytics, and tracking

Our website may use essential technologies needed to load pages, protect the site, measure basic performance, or remember preferences. Third-party CDNs, fonts, hosting providers, or analytics services may receive technical data such as IP address, browser information, and request logs when you access the site.

We do not sell personal data. We do not knowingly track users across third-party apps or websites for targeted advertising without any consent required by applicable law or platform rules. If advertising, analytics, or tracking technologies are added later, this policy should be updated before use.

8. Legal bases for processing

Where laws such as the GDPR or UK GDPR apply, we process personal data based on one or more legal bases, including performance of a contract, consent, legitimate interests, compliance with legal obligations, and protection of vital interests where relevant. You may withdraw consent where processing depends on consent.

9. International data transfers

VisionNova and its service providers may process data in countries other than where you live or work. Where required, we use appropriate safeguards for international transfers, such as contractual protections, vendor due diligence, and other mechanisms recognized by applicable privacy laws.

10. Data retention and deletion

We retain data for as long as needed to provide the services, maintain records, meet legal and accounting obligations, resolve disputes, enforce agreements, secure the service, and support legitimate business purposes. Retention periods may vary depending on the type of data, customer contract, workspace settings, and applicable law.

You may request deletion of your personal data or account data by contacting us. If you use VisionQC through an organization, deletion may need to be requested through that organization's administrator. We may retain limited data where required by law, security, fraud prevention, backup, audit, dispute resolution, or legitimate business obligations.

11. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect data from unauthorized access, loss, misuse, disclosure, alteration, and destruction. No online service can guarantee absolute security, so users should also protect account credentials, device access, and workspace permissions.

12. Your privacy rights

Depending on your location, you may have rights to request access, correction, deletion, restriction, objection, portability, withdrawal of consent, or information about how your personal data is processed. Residents of certain regions, including the European Economic Area, United Kingdom, Switzerland, California, and other jurisdictions, may have additional rights under local privacy laws.

We will not discriminate against you for exercising privacy rights. To make a request, contact us using the details below. We may need to verify your identity or authority before responding.

13. Children

VisionNova services are intended for business and professional use and are not directed to children. We do not knowingly collect personal data from children under the age required by applicable law. If you believe a child has provided personal data to us, contact us and we will take appropriate steps to delete it.

14. App stores and platform privacy information

If a VisionNova or VisionQC app is distributed through an app store, the app store listing may include additional privacy details required by that platform. Those details should match the actual data practices of the app version submitted for review. If there is a conflict between this policy and a specific customer agreement or app store disclosure, the more specific disclosure may apply to that context.

15. Changes to this policy

We may update this Privacy Policy as our services, data practices, legal requirements, or platform requirements change. The "Last updated" date shows when this policy was last revised. Material changes may be communicated through the website, app, email, or other reasonable notice.

16. Contact and privacy requests

For privacy questions, consent withdrawal, access requests, correction requests, account deletion, or data deletion requests, contact:

Please include enough information for us to understand and verify your request, such as your name, email address, organization, workspace, and the service involved.

Important: This policy is designed as a practical global privacy notice for VisionNova services, but it is not legal advice. Before submitting an app to Apple or operating in regulated markets, the policy should be reviewed against the exact app data flows, SDKs, vendors, contracts, and jurisdictions where the service is offered.
